Add Web Flows to Workflows
Learn how to add Web Flows to your Workflow canvas
Table of Contents
Closed Beta
Web Flows in Workflows are currently in closed beta. This feature will be widely available soon.
With Workflows, you can add Web Flows to your canvas to easily orchestrate your communications with users. This lets you:
- Target Flows, emails, and push messages as part of the same messaging campaign
- String together a sequence of Flows, all in one place
- Ensure that the right message goes out to the right user in the right order
- A/B Test using branching and the Audience Randomizer user property
How it works
So how does Flows in Workflows work? Simply put: when a user reaches a Flow node in a Workflow, they become qualified to see that Flow. This does not guarantee that they will see it, since they must be logged into the app and trigger the Flow, but it means that they can see it. If desired, you can even require that they must see it before they're allowed to progress further in the Workflow.
Adding a Flow to the Workflow Canvas
To add a Flow to a Workflow, press any “+” button on the Workflow canvas and select “Flow”.

This will prompt you to give your Flow a name and build URL. Both of these are required to be able to create or copy a Flow. The Build URL is a page in your app where you can open the Flow in the builder and make any edits. While it could be the same URL where you'll show the live flow, this isn't the field that tells Appcues where the live version will show.

Once you've added your Flow name and Build URL, you'll have the option to copy an existing Flow or create a new Flow.

If you choose Copy existing Flow, this will open a modal you can use to search for and select an existing flow. You can then edit the flow in the builder.
If you choose Create a new Flow, this will prompt you to continue creating your Flow's content inside of the Appcues Builder.

Once you've made your selection, you will have access to the Flow sidebar. From here, you can manage your Flow settings and edit your Flow's content.

Customizing Flow settings
Your Flow will inherit the audience settings from the Workflow, but you can customize when, where, and how often it appears, as well as the criteria for moving forward in the Workflow.
When can users move to the next node?
In order to progress past the Flow in a Workflow, users should at least be shown the Flow. However, you can also ensure that the Flow is completed before allowing users to move forward. For each of these settings, you can apply a Maximum wait, so that users can eventually progress even if they don't see or complete the Flow.

Flow Triggering
If you want to show your flow immediately when the user reaches the page, you can select that option. If you wish to trigger the Flow when an event occurs, you can do so with event triggering. Note that you cannot manually trigger a Flow that is inside a Workflow.
To learn more about what Show Once and Show Every Time mean, check our documentation: Setting up Flow Frequency. Note that if you select Show Every Time, users will only continue to see this Flow while they are enrolled in the Workflow.

URL Targeting
You can allow your Flow to be shown on any page, but you can also specify which URLs it can be shown on. To specify a path, select At a specific path and edit the URL conditions accordingly.

Clicking the edit button will open the conditions editor where you can specify the URL path you want the Flow to appear (or not appear) on. Read our article for more information about Page targeting.

Flow Frequency limit
If you are using the Flow frequency limit, you can override it to ensure that this Flow is seen. For more information about this limit, see: Experiences frequency limit.
